How do I get a CruzPay account?

Information about CruzPay is sent to users' @ucsc.edu email if they are eligible to use the online timesheet system. Users access CruzPay with their CruzID and Gold credentials. 

 


Monthly Timesheets

The monthly time reporting and pay period is the 1st of the month through the end of the month. Monthly employees report leave taken only (not hours worked).

CruzPay Quick Start Guide for Monthly Staff and Academic Employees

  • Employees on the monthly pay cycle who are eligible to earn leave are required to submit a timesheet at the end of each month, reporting any leave taken. If you do not take leave, submit the blank timesheet with no entries.
  • Employees in the Postdoctoral title series report leave taken in whole day integers, e.g., 1 (day).  
  • Other academic employees on the monthly pay cycle report leave taken in whole day increments, equivalent to the appointment percent, e.g., 8 (hours). 
  • After the employee submits the timesheet, the supervisor is required to review and approve it.
  • CruzPay sends automatic system emails to the employee's @ucsc email on the last day of the month and the 3rd day of the following month (e.g., 5/31 and 6/3) reminding them to submit the timesheet
  • CruzPay sends automatic system emails to the supervisor's @ucsc email on the 2nd and 5th day of the current month (e.g., 6/2 and 6/5) reminding them to approve the timesheet. 

 


Biweekly Timesheets

The biweekly time reporting pay period is two weeks long, Sat-Sun. Biweekly employees report hours worked to the nearest quarter hour and leave taken to the nearest quarter hour (if applicable). 

CruzPay Quick Start Guide for Biweekly Student and Academic Employees 

  • Employees on the biweekly pay cycle submit a timesheet each biweekly pay period end, by the last Saturday of the pay period. 
  • After the employee submits the timesheet, the supervisor is required to review and approve it. 
  • CruzPay sends automatic system emails to the employee's @ucsc email on the Friday before the end of the biweekly pay period, and the Saturday end of the biweekly pay period, reminding them to submit the timesheet. 
  • CruzPay sends automatic system emails to the supervisor's @ucsc email on the first Monday of the new biweekly pay period at 6:30 am and 3:00 pm, reminding them to approve the timesheet.
